How To Reduce Copy-Paste Between Systems

Choose one repeated transfer, establish record identity and field ownership, then test an integration against duplicates and corrections.

HATT Product Lab · · Updated

Repeated copying creates more than typing work: it creates opportunities for two systems to disagree. Before connecting them, select one recurring transfer and write down exactly what should arrive at the destination.

Establish record identity

Use a stable identifier to connect the source record to its destination. A customer name is not sufficient when it can change or be shared by two customers. Record which application owns each field; avoid allowing both sides to overwrite the same value without a conflict rule.

A field map should describe the source, destination, transformation and treatment of missing values. For example, decide whether an empty date means “not supplied” or “remove the previous date”. Those actions are different.

Choose the smallest transfer mechanism

A periodic export can be appropriate for a low-frequency task. A maintained connector may suit stable fields between supported systems. Custom integration becomes relevant when the transfer has business-specific validation or several dependent steps.

Do not connect every tool in the first version. Pick one complete transfer that can be observed and reversed, then keep a record of accepted and rejected items.

Test corrections as well as successful transfers

Use sample records with missing fields, changed names and duplicate submissions. Repeat the same transfer to check that it does not create a second record. Simulate a destination failure and verify that retrying does not lose the correction history.

Assign someone to review rejected records. A transfer that silently skips errors can make the workload less visible without reducing it. Compare manual correction effort before and after the change.

If the repeated task is generating documents rather than synchronising applications, Folio addresses the narrower workflow of Word templates and spreadsheet rows. For a stack-wide review, see integration fatigue.
